When a student goes to book, the URL should stay on your website. The moment they are bounced to a generic vendor domain, trust drops and the booking starts to feel like it belongs to the software company instead of your studio. Look for software that embeds booking directly in your pages, on your domain, with your branding. A widget bolted onto a template is not the same as a site built to take bookings.

You should be the merchant of record

Read the payments terms closely. With many platforms the vendor is the merchant of record, which means their name can appear on your students' card statements and your payouts route through their account. The cleaner model is direct payments where your studio is the merchant of record: students pay you, the charge shows your studio name, and you own the relationship with your processor. It is your revenue, so it should run through your account.

The basics, done well

A short, non-negotiable list:

  • Class schedules students can browse and book without friction
  • Class packs and prepaid credits, so regulars can buy in bulk
  • Door check-in, ideally with QR tickets, so the front desk is fast
  • A student record you can export at any time. Your roster is your asset, not the vendor's.

Run the studio, not just the schedule

Booking is the front door, but the software you choose quietly becomes your back office. The good ones handle instructor scheduling and attendance, payouts and pay splits, and email to the right segment of your students. If you run more than one location, you should be able to switch between them without separate logins.

Questions to ask any vendor

  • Does student sign-in ever leave my domain?
  • Whose name is on the card statement?
  • Can I export my full student list today, without asking support?
  • What happens to my website and data if I cancel?
  • Is there platform branding in the student experience, including emails and the footer?

If the answers point back to the vendor instead of your studio, keep looking.
