Switching booking software feels like open-heart surgery on your studio. Students are mid-membership, classes run every night, and payments cannot stop for a week while you figure out a new tool. That fear keeps a lot of owners on software they have outgrown. The good news: a migration is a project, not a gamble. Done in the right order, most of your students never feel a thing. Here is the order.

Start by exporting everything you own

Before you touch a new tool, get your data out of the old one. Your student roster, contact details, class history, and membership records are yours, and you should be holding a copy of them on your own computer before you cancel anything. Export to CSV, open the files, and confirm the columns you care about actually came through: names, emails, phone numbers, pass and membership status, and any class credits students have already paid for. If your current provider makes this hard, that is a preview of how the rest of the relationship will go, and one more reason to leave.

Write down your schedule and pricing exactly as they are

Most migrations go sideways because the studio tries to redesign its whole pricing model at the same time as it changes software. Do not. Copy your current schedule, class types, pass options, and prices over as they are. Get the new system matching the old one first. Once you are live and stable, then improve pricing. One change at a time keeps problems easy to spot.

Move payments without leaving a gap

This is the part owners worry about most, and it is more straightforward than it looks. Modern booking tools run on Stripe, where your studio is the merchant of record and payouts land in your own account. You will set up a new payment connection in the new system, and new charges flow through it from your cutover date. For card details students already saved, plan to have returning students confirm their card the first time they book in the new system. It takes them ten seconds, and it means no sensitive data has to be risk-migrated between vendors.

Tell students once, and frame it as an upgrade

You do not owe your students a long apology. A short, confident message does the job: the studio is moving to a better booking experience, here is the new link, and here is what to do the first time. Send it by email, post it where they already look, and keep the instructions to three steps or fewer. Avoid the temptation to over-explain the behind-the-scenes work. From their side it should feel like the studio got nicer, not like something broke.

Pick a quiet week and run a short overlap

Choose your cutover for a lower-traffic week, not the start of a new term and not the week of a recital. For a few days, keep the old system readable so you can still look things up, while the new one takes live bookings. That overlap is your safety net for the handful of edge cases every studio has.

The questions students will actually ask

Three come up every time. Will they have to make a new account? Yes, once, and it should take under a minute on your own website. What happens to the class pack they already paid for? You carry the remaining credits over when you set them up, which is why your export matters. Will their card be charged twice? No, the old system stops taking new charges at cutover. Have those three answers ready and most of the worry disappears.

The migration is the easy part

Here is what nobody tells you: moving the data is the small job. The real win is everything that comes after, when your booking lives on your own domain, your brand is on the student experience instead of a vendor's, and your roster is something you can export any day of the week instead of something you rent. The switch is a weekend of careful work. The payoff lasts as long as you run the studio.
