What to prepare before you start

A move goes smoothly when you have three things ready: a clear list of what you teach and charge, access to export your records from your current system, and control of your domain's DNS. None of these are heavy, and we help with all of them, but having them on hand removes the usual back-and-forth.

You do not need to cancel anything up front. You can keep taking bookings on your current system while your Floorwork site and schedule are built and checked, then cut over once the new flow is live and verified.

Step-by-step: switching from Mindbody to Floorwork

Here is the full sequence, from first inventory to going live on your own domain. Steps four and five involve Stripe and a real data migration, so they are the parts where the timeline can stretch; the rest is quick.

  1. 1. Prepare and take stock of your current setup

    Before anything moves, make a simple inventory of what you run today: the classes and styles you teach, your weekly schedule, your pricing for drop-ins and class packs, your active students, and any season-specific items like recitals or workshops. You do not need a perfect spreadsheet, just a clear picture so nothing is missed.

    Note your current domain and where it is registered, because your Floorwork site and booking will live on your own domain rather than a vendor subdomain. Knowing who controls your DNS in advance saves a step later.

  2. 2. Export your data out of Mindbody

    Pull your records out of your current system so we have a clean starting point. In general that means exporting your student or client list, your class and schedule information, and any pricing or pack definitions you want to carry over. Most platforms let you export these to CSV from their reporting or admin area.

    Exact export menus differ and change over time, so we will not pretend to know your account's screens. If you are unsure what to pull or where it lives, send us what you can and we will tell you what is still needed during onboarding. The goal is your students, classes, and schedule in a format we can import, not a flawless dump.

  3. 3. Bring your own domain and set the auth subdomain CNAME

    Your studio keeps its own apex domain. The one piece of DNS to set up is a CNAME on an auth subdomain of that domain, which points at the Floorwork booking app and serves student sign-in plus the booking API. Account, checkout, and the rest of the student experience render on your apex site itself.

    We hand you the exact CNAME target and walk through adding it at your registrar. Once it resolves, sign-in cookies are first-party on your domain, so students never leave your address to transact. This is the change that ends the Mindbody pattern of sending students to a vendor domain to pay.

  4. 4. Set up Stripe Connect with your studio as merchant of record

    Floorwork uses Stripe Connect so your studio is the merchant of record. You connect or create a Stripe account, payouts land in your own account, and your studio name is what appears on a parent's card statement. Floorwork takes a platform fee on top, and Stripe handles tax forms to you directly.

    Stripe runs its own verification for a connected account, so build in a little lead time for that to clear. We point you at the right place to start and stay on the line if anything in the Stripe flow is unclear.

  5. 5. Migrate students, classes, and schedules during guided onboarding

    This is the hands-on part, and it is done with you rather than left to you. We take the data you exported and load your students, classes, levels, pricing, and weekly schedule into Floorwork, then check it against your current setup so the live schedule matches what you actually teach.

    We also build the studio site itself: the pages, the theme, and inline booking that matches your brand. You review it before it goes live, so the first thing a student sees is correct, not a half-filled template.

  6. 6. Communicate the change to your students

    Because everything stays on your own domain, the change is far less jarring than a typical platform switch. Even so, tell your students what to expect: the first time they book after the move, they create or confirm an account on your site. A short email and a note at the front desk cover most of it.

    We help you time the announcement so it lands once the new booking flow is live and tested, not before. Class packs and credits you carried over are reflected in their accounts, so regulars are not starting from zero.

  7. 7. Go live and keep refining

    When the schedule is verified, the site is approved, and Stripe is connected, you flip to taking bookings on your own domain. From there you run the studio from the staff app, and ongoing site maintenance is part of the subscription rather than a separate web bill.

    Small adjustments after launch are normal: a class time changes, you add a workshop, you tweak a price. Those are quick edits, and your student data remains yours and exports cleanly to CSV at any time.

Timeline expectations

Most studios go live within roughly one to two weeks of starting. The two variables that move that number are how clean your exported data is and how quickly Stripe verification clears for your connected account, which is outside anyone's direct control.

There is no hard cutover deadline forced on you. Because you can keep running on your old system until the Floorwork flow is tested and approved, you choose the go-live moment rather than racing a clock.

Floorwork is honest about where the work sits. The data migration and the site build are hands-on and done with you: we import your students, classes, and schedule, and we design and build the site rather than handing you a template editor to assemble. You review and approve, but you are not left to do the heavy lifting alone.

The parts that are naturally yours are the ones only you can do: deciding what to export, granting the DNS change at your registrar, and completing Stripe's verification for your own account. We guide each of those, but they run through your accounts because they are yours to own. We would rather set that expectation plainly than imply a switch is one button.
